Digitizing FAS processes enhances the student experience
The Faculty of Arts and Science is excited to announce a shift to digital for several processes that will enhance students’ experience while moving through their Queen’s University studies.
The FAS Letter of Permission (LOP) process has moved online to create a seamless experience for students wanting to take a course at another institution. A related, incredible benefit is that students looking to transfer to Queen’s will be able to identify their potential transfer credits much earlier providing these students with essential academic information to accept their offer of admission to study at Queen’s and register in courses more easily.
Booking FAS academic advising appointments has also moved online with You Can Book Me, offering an integrated system set up with automatic calendar invites, links, and reminders.
“We are excited about how we can better serve our students. We need to update our processes to reflect that,” says Barbara Crow, Dean of the Faculty of Arts and Science. “To provide better service for our students, we have reimagined how various processes function within FAS. Among other things, we have improved how students receive advising services and how those outside the university can learn what FAS offers in regards to course options and studying at Queen’s.”
Letter of Permission
FAS is one of the first faculties in a phased rollout to replace an outdated and manual LOP process to an online module. The old process was predominantly manual and required students to submit a paper application form, via fax or email, to their faculty for approval. This new SOLUS process makes the process easier for external students to find courses at Queen’s and provides enhanced options for current students to research options outside the university.
Queen’s assessed equivalent courses will now be listed on and payment for courses will be completed through SOLUS rather than a third-party app. Students can also upload supporting documentation and view the progress of their application - all in one place.
The application process for an International Letter of Permission will adopt this same system later this summer. In the interim, f students are considering taking a course through a school outside of Canada, they should visit the International Programs Office website.

You Can Book Me
With the old advising system, students had to make appointments the day of starting at 9 am. Within minutes, all appointments would be filled for the day. The new system offers appointments for a 72-hour window and meetings are held with an advisor via Zoom. Students can book nighttime appointments for increased flexibility. The system also includes automatic calendar invites, various links, and reminders.
